Terms and Conditions 

(For Families)

1. Payment Terms

1.1 Tutoring fees must be paid in advance on the 1st of every month for the duration of the

Contract.

1.2.  Payments are taken each month via Stripe through the ClassForKids Platform and are

the same amount each month. 

1.2. Failure to make payment, including during holiday periods, may result in lesson

termination.

1.3. No lessons will take place without advance payment.

1.4 In some cases, additional materials such as books for specific subjects (e.g., Verbal

Reasoning, Non-Verbal Reasoning) may be required. These will be charged separately,

and parents will be informed in advance.

1.5 All payments are processed on a recurring monthly basis. The minimum contract

duration is one calendar month from the start date. After the minimum term, the contract

will continue on a rolling monthly basis until terminated with one full calendar month’s

written notice, as per our termination policy.


2. Contract Duration and Termination

2.1. This tutoring contract remains in effect until terminated by either party.

2.2. Termination Notice: A full calendar month's written notice is required to terminate this

agreement. For instance, if we receive your notice on the 12th of a month, you will still

be required to pay for the following month. Therefore, your contract will end on the last

day of the month after next.

2.3. All termination notices must be given in writing via email to admin@gyminds.co.uk

2.4. If tutoring is terminated for any reason, Growing Young Minds cannot guarantee the

same lesson times, teachers, or fees should you wish to return.

2.5. If a child attends their first lesson and decides not to continue, parents must submit a

refund request within one week of the first lesson to receive a refund for any lessons not

attended thereafter. If the request is made after the seven-day period, the standard

notice period will apply.


3. Attendance and Refund Policy

3.1. No refunds will be given for missed lessons unless the tutor is unavailable. In such

cases, Growing Young Minds will refund the lesson fee.

3.2. Growing Young Minds is open all year round, except for Bank Holidays and the

period between Christmas and New Year.

3.3. Self-study materials for missed lessons (outside of the stated closed periods) will be

available on Google Classroom.


4. Parent and Student Responsibilities

4.1. Parents/guardians are expected to support their child’s progress by ensuring completion

of additional work assigned by the teacher.

4.2. Parents/guardians and students must be respectful towards other parents, children, and

staff at all times.


5. Growing Young Minds Commitments

5.1. Growing Young Minds will make every effort to cover teacher absences to ensure

lessons continue as scheduled. If a lesson must be canceled, a refund will be issued.

5.2. Self-study materials will be uploaded to Google Classroom for parents and students to

access as needed.

5.3. Growing Young Minds will work closely with parents to provide feedback, track

progress, and set learning targets.

5.4. Growing Young Minds is committed to providing a professional, inclusive, and

supportive learning environment for all children, regardless of age, ability, or needs.


6. Force Majeure

6.1. Growing Young Minds shall not be held liable for any failure or delay in performing its

obligations under this contract if such failure or delay is caused by circumstances

beyond its reasonable control, including but not limited to:

  • Natural disasters (e.g., floods, earthquakes, storms)
  • Pandemics, epidemics, or government-imposed restrictions
  • War, terrorism, riots, or civil disturbances
  • Power outages or failure of internet services beyond our control
  • Fire or water damage
  • Any other unforeseen events that prevent normal operations

6.2. In the event of a force majeure situation, Growing Young Minds will make reasonable

efforts to provide alternative learning options (such as online lessons or self-study

materials), but no refunds will be issued for disruptions beyond our control.


7. Communication and Mailing List

7.1. Parents/guardians agree to be added to the Growing Young Minds mailing list to

receive updates and important information.

7.2. Parents/guardians may unsubscribe at any time.


8. Safeguarding and Child Protection

8.1. Growing Young Minds is committed to maintaining a safe and supportive learning

environment for all students.

8.2. All teachers are required to adhere to safeguarding and child protection policies. Any

concerns regarding student welfare will be reported in accordance with legal obligations.

9. Online Lesson Conduct and Responsibilities 

9.1. For online lessons, parents/guardians must ensure:

  • A quiet and suitable learning environment for the student.
  • A stable internet connection and working device (laptop, tablet, etc.).
  • That students behave appropriately and respectfully during lessons.
  • That parents/guardians do not interfere with or interrupt online lessons while they are in progress.

9.2. Growing Young Minds is not responsible for technical issues on the student’s side (e.g.,

poor internet connection). No refunds will be issued for missed lessons due to technical

problems.


10. Lesson Cancellations by Parents

10.1. If a student is unable to attend a scheduled lesson, the parent/guardian must notify

Growing Young Minds as soon as possible.

10.2. Missed lessons by students will not be refunded but may be supplemented with

self-study materials if available.

10.3. At the discretion of Growing Young Minds, a rescheduled lesson may be offered,

subject to tutor availability.


11. Behaviour and Discipline

11.1. Growing Young Minds has a zero-tolerance policy for disruptive or inappropriate

behaviour by students or parents.

11.2. If a student consistently disrupts lessons or behaves inappropriately, Growing Young

Minds reserves the right to:

  • Issue a formal warning to parents.
  • Suspend or terminate tutoring services if behavior does not improve.


12. Confidentiality and Data Protection

12.1. Growing Young Minds will store and process all personal data in accordance with UK

GDPR and data protection laws.

12.2. Personal information will only be used for tutoring, communication, and business

purposes.

12.3. Parents have the right to request access to their data or request deletion of their

personal information at any time.


13. Liability Disclaimer

13.1. While Growing Young Minds strives to provide high-quality tutoring, we do not

guarantee specific academic outcomes or grades.

13.2. Growing Young Minds is not responsible for any injury, loss, or damage sustained by

students while attending lessons, whether online or in-person. Parents are responsible

for ensuring a safe environment for their child.
